Privacy Policy
1. Introduction
Digital Enablers LLC, doing business as Rental Wizard (“Rental Wizard,” “we,” “us,” or “our”), operates the Rental Wizard platform, including the websites at rental-wizard.com and app.rental-wizard.com (together, the “Service”). This Privacy Policy explains what information we collect, how we use it, and the choices you have, whether you’re a rental company using Rental Wizard to run your business (“Tenant”) or an individual whose data a Tenant has entered into the Service.
Because Rental Wizard is a business-to-business platform, most personal data in the system is entered and controlled by our Tenants, not collected directly by us from the public. Our Tenants are generally the “data controller” for the customer, employee, and operational data they enter into their account, and Rental Wizard acts as a “data processor” or “service provider” processing that data on their behalf and according to their instructions.
2. Information We Collect
Account and billing information — when a Tenant creates a Rental Wizard account: company name, contact name, email, phone number, billing address, and payment details (processed through our payment provider; we do not store full card numbers).
Data entered into the Service by Tenants, which may include: customer company and contact records, customer KYC documents, equipment and fleet records, contract and proposal documents, employee records (names, roles, wage information, mileage claims), vendor records, and financial records.
Website usage data — IP address, browser and device type, pages visited, referring URL, and general usage analytics, collected via cookies and similar technologies (see our Cookie Policy).
Communications — records of support requests, demo bookings, and correspondence with our team.
3. How We Use Information
We use the information described above to: provide, operate, and maintain the Service; process subscription billing and manage accounts; respond to support requests; monitor and improve platform performance, security, and reliability; detect and prevent fraud, abuse, or security incidents; and comply with legal obligations.
We do not sell personal data. We do not use data Tenants store in the Service for our own marketing or analytics purposes beyond what’s necessary to operate, secure, and support the Service.
4. How We Share Information
We share information only: with subprocessors and service providers who help us run the Service [LIST YOUR ACTUAL SUBPROCESSORS — HOSTING, PAYMENT PROCESSOR, EMAIL SERVICE]; with professional advisors as needed; if required by law or legal process; in connection with a merger, acquisition, or sale of assets, with notice to affected Tenants; and with a Tenant’s own users, if that Tenant has enabled features like a public website or customer portal.
5. Data Retention
We retain account and billing information for as long as an account is active and for a period afterward as required for legal, accounting, or dispute-resolution purposes [SPECIFY RETENTION PERIOD]. Data a Tenant enters into the Service is retained for the duration of that Tenant’s subscription and for [SPECIFY PERIOD] after cancellation.
6. International Data Transfers
Rental Wizard’s infrastructure is hosted in [SPECIFY DATA CENTER LOCATION(S)]. If you or your data is located in a different country, your information may be transferred to and processed in a country with different data protection laws. [UK/EU TRANSFER MECHANISM — CONFIRM WITH COUNSEL]
7. Your Rights
Depending on where you’re located, you may have rights to access, correct, delete, or export your personal data, or to object to or restrict certain processing. If your data was entered into the Service by a Tenant, direct these requests to that Tenant first; we assist Tenants in responding as required by our processing agreements. For requests about your own account or billing data, reach us at [PRIVACY CONTACT EMAIL].
8. Data Security
We use administrative, technical, and physical safeguards designed to protect information processed through the Service, including tenant data isolation at the database level (see our Security page), encryption in transit, and role-based access controls. No method of transmission or storage is 100% secure.
9. Children’s Privacy
The Service is intended for business use and is not directed at individuals under 18. We do not knowingly collect personal data from children.
10. Changes to This Policy
We may update this Privacy Policy from time to time, posting the updated version here with a new “Last updated” date, and for material changes, providing additional notice [SPECIFY NOTICE METHOD].
